The requirement that applies today

The organization keeps an effective internal system for passing on issues that affect food safety. The food safety team is told in good time about changes to products, materials and services, production systems and equipment, premises and the surrounding environment, cleaning and sanitation, packaging, storage and distribution, competences and responsibilities, legal requirements, hazard knowledge, customer and sector requirements, external enquiries, complaints and alerts, and any other condition that affects food safety. The team uses that information when updating the system, and top management uses it in the review.

Why this clause matters

The list in this clause is a useful checklist for a transition: every item on it is a place where a change can enter the system unnoticed. The clause does not require a particular meeting; it requires that the right people hear the right thing in time to act.

Suggested evidence to discuss with your auditor

For 7.4.3, these are the artefacts we suggest discussing with your auditor. The standard publishes no evidence list, so this is our reading, not a requirement.

  • A change notification route from operations to the food safety team, with examples
  • Minutes or records showing the team received and acted on a change
  • Evidence that complaints and alerts reach the team, not only customer service

Where systems usually fall short

  • A monthly meeting as the only route for urgent changes
  • The food safety team learns about a new line after it starts running

How to prepare

Take the last three changes on the list, such as a new ingredient, a new equipment item and a complaint trend. For each, show the date the team heard about it and what it did. If the team heard late, the route needs fixing.
