The requirement that applies today
The organization controls the documented information the system and the standard require so that it is available and suitable where and when it is needed, and guarded against disclosure, misuse and corruption. It covers distribution, access, retrieval and use, storage and preservation including legibility, change control such as version control, and retention and disposition. Documents of external origin that the system needs are identified and controlled, and records kept as evidence are protected from alteration.

Why this clause matters
This clause decides whether an auditor can find the current document in under a minute, and whether a recall can be run from records that are complete. The move to electronic systems helps and creates new risks: access rights, audit trails and backups. The 60-second test in this product’s method comes from this clause.
Suggested evidence to discuss with your auditor
For 7.5.3, these are the artefacts we suggest discussing with your auditor. The standard publishes no evidence list, so this is our reading, not a requirement.
- A controlled document list with current versions and locations
- Access rights and audit trails for the electronic system
- A retention schedule that covers at least the shelf life and the legal requirement
Where systems usually fall short
- Obsolete copies still available on the line
- Records that can be edited after the fact with no trail
How to prepare
Ask someone who does not know the system to find the current hazard control plan in 60 seconds. Then ask them to find a record from a lot produced six months ago. Time both. The result is your document control score.
